Editing the Schedule

Options on the Schedule include the Start Date and the Frequency.

  • Start Date: The first date the email is processed. All emails include a start date that you can modify. Enter the date you want the system to start processing the email to determine if it should be sent.
  • Email Frequency: How often the criteria in the email is evaluated. Not all emails include the Frequency option. Some emails are evaluated on a daily basis by default.
  • See About Sending Emails for more information about when and to whom emails are sent.

Note: Editing the schedule does not automatically activate the email. You must activate the email by checking the Activate box on the email Home page.

To edit the Schedule

  1. From the Shortcuts menu, click Schedule.
  2. Enter a Start Date.
  3. If the Frequency option is available, enter the number of Day(s), Week(s), or Month(s).
Notes:
  • The first email is sent the day after the Start Date, based on the approximate time of day entered on the Setup page.
  • User Initial Training Notices and Overdue Training Notices are only sent to a learner one time for each course meeting the criteria. Additionally if the course is a recurring and becomes due again.
  • Welcome messages are only sent one time to each user. If the start date for the Welcome email is changed, the system evaluates all new learners added in the last 60 days and sends an email to all learners who did not previously receive one.
  • Non-recurring custom emails are sent only once. However, if the email was already sent, if you edit the start date to a date in the future, the email is resent.
