Report Parameters and Filters

Use the filters and options listed below to narrow the report results. Not all filters and options are available in all reports.

Report parameters

  • Report Title: If you plan to save the report in order to run it later, enter a meaningful title for the report. Defaults to the report name if no title is entered.
  • Save: If you modify the filters or report parameters, you can save a copy of the report in order to run it later. Saved reports are available on the reports main page under Saved Reports.
  • Output: Select an output for the report results. Not all formats are available for all reports.
    • Web browser: Results display immediately in the browser window.
    • PDF: Creates a PDF version of the report which is available for 48 hours on the reports main page under Current Reports. Once the report is processed, click download to open it in a browser window.
    • CSV: Creates a comma delimited version of the report which is available for 48 hours on the reports main page under Current Reports. Once the report is processed, you can download it to your local storage device and open it in Excel or a similar program.
  • With demographics: For CSV reports, includes a field for each of your organization's demographics (attributes) with values listed for each user.
  • Run Report: Run the report immediately with default values for all filters and options. Reports with a large amount of data may take several minutes to run.

Course filter

The course filter allows you to select one, several, or all courses to include in the report. Narrow the list of courses to choose from by selecting a Delivery Method or Courses Status:

  • Delivery Method: Only lists courses based on the selected delivery method. The most common options are All, Web-based Training, or All Non web-based training. Default is All.
  • Courses Status: Lists courses based on a status of Active, Inactive, or All. Default is Active.
  • Search: Enter the course title, or part of the title. Search results are dynamically listed if a match is found.

Content filters

Content filters are based on settings that apply to each audience, or each individual user assigned the course.

  • Training Type: Filters based on whether the course is Optional or Required. Default is All course assignments.
  • Training Status: Filters based on each individual users' Training Status for each course. Options include Complete, Incomplete, Not Started, Exemption, Equivalency, Overdue. Default is All.

Demographic filters

Demographic filters include all user attributes associated with your organization. For each demographic attribute, select the value you want to filter by. If you filter by more than one demographic attribute, users must be associated with each value selected.

For example, if you select the State value of Arizona, and the City value of Phoenix, only users assigned both values are included in the report results.

Note: For reports that use attribute filters, the user-specific attributes mapped on the Setup > Percipio Settings page, only display values that are associated with an audience. All other values are removed from the drop-down list, but still display in CSV reports.

User filters

User filters allow you to filter by User Status and Security Level. Verify a user's status and security level on the User Information page.

  • User Status: Select All, Active or Inactive. Defaults to Active.
  • Security Level: Filters by the security level assigned to each user, or all users. Defaults to All.

Other filters

Other filters available include:

  • From / To date filters: Use both date filters to only include results for a specific time-frame. Use the From date to return results from that date forward. Or, use the To date to return results from that date backwards. If you leave the To date blank, the results are based on activity that is current at the time the report is run.
    • Courses Due From/To: Includes data for all courses due during the selected dates. Results can include courses due in the past or the future.
    • Courses Completed From/To: Includes data for users who completed the course during the selected dates. Results can only include dates in the past.
    • Learning Programs Due From/To: Includes data for all Learning Programs due during the selected dates. Results can include Learning Programs due in the past or the future. Results are based on the due date for the entire Learning Program.
    • Curriculum Groups Due From/To: Includes data for all Curriculum Groups due during the selected dates. Results can include Curriculum Groups due in the past or the future. Results are based on the due date for the entire Curriculum Group.
  • Overdue Completions Only: Select the check box to include only overdue courses.
  • Include Historical Data: Historical data includes all completions for all courses. If left unchecked, only current completions for each course are included. If checked, all current and prior completions are included. For example, if a learner completes the same anti-harrasment course every year, leave the box unchecked to see only the current completion in the results. Check the box to see the completion dates for all the learner's prior completions for the course.
  • Test Attempts >= Maximum allowed Attempts: Select the check box to include only users whose number of test attempts is equal to or greater than the maximum attempts allowed.

Reporting group

Group by Course or User:

  • By Course: Lists results by course, then all users with activity for the course.
  • By User: Lists results by user, then all courses for which the user has activity.
  • Display Curriculum Group Courses Together: When checked, all courses included in a curriculum group are grouped together and the curriculum group name is added to the course name.
