About Standard and Custom Emails
The Email Notification feature includes both standard and custom emails that you can use to notify learners and their administrators and supervisors about upcoming and overdue training.
Standard emails include general notifications such as the User Welcome email and the Initial Training notice, as well as training status notifications for supervisors and administrators.
Additionally:
- Standard emails require no customizations.
- You cannot edit the type of data that's included.
- You cannot edit the list of recipients.
- The standard emails evaluate all learners and courses in the system to determine who should receive the email.
- Only one instance of each standard email is available
Custom emails are specifically used to remind learners, supervisors and administrators about upcoming, completed, or overdue training.
Additionally:
- You must create custom emails from the templates provided before you can send them.
- You can specify the type of data that's included by selecting the course names, statuses, due dates, etc.
- You can specify learners by selecting attributes to which they are associated.
- Custom emails evaluate only the courses and learners you specify to determine who should receive the email.
- Multiple instances of each custom email can exist simultaneously.
Standard emails are a simple and convenient way to get your email system up and running. You can activate the standard emails as soon as you have access to your Compliance site.
Use standard emails to ensure new learners automatically receive the login URL and are notified about new course assignments. Additionally, supervisors and administrators can automatically receive training status emails to ensure learners stay compliant.
Custom Emails allow you to refine and target the list of recipients by modifying the data included in the report. You can select specific courses by name, due date, status, and assigned date. You can select learners by choosing attributes they are associated with.
Use custom emails to remind learners in a specific locale that their Workplace Harassment course is due within the next two weeks. Or, inform supervisors that several of their learners have an overdue assignment that puts the organization at risk for non-compliance.
