Standard Emails

Standard emails are the default emails included with your Compliance site. Use standard emails to:

  • Notify administrators and supervisors about the training status for their users
  • Send welcome emails to learners and notify them about upcoming and overdue assignments

Once you've activated the email feature (if necessary) and configured the setup options, you can activate the standard emails to start sending them to your administrators, supervisors, and users (learners).

You can edit some fields in the standard emails, but your choices are limited. You have minimal control over who receives the emails, and which learners are included in the report.

For example, if you activate the Overdue Training notice, the notification is sent to all learners who became overdue for a course on the previous day. You can modify the start date, but you cannot modify who receives the email.

If you activate the Training Administrator Report, the notification is sent to all administrators and includes information about all learners who meet the report criteria. Although you can modify how often the system evaluates whether or not to send an email, you cannot modify which learners are included in the report.

Standard email types

The following list briefly describes each standard email. Click the title for more information.

  • Training Administrator Report: Sent to all administrators in the organization and includes information about all learners in the organization. The report includes data about courses completed within the last 30 days, courses due in the next 30 days, and courses currently overdue.
  • Supervisor User Status Report: Sent to supervisors of the learners who meet the report criteria and have the supervisor's email included in their user profile. See Map Supervisor Emails for more information. The report includes data about courses completed within the last 30 days, courses due in the next 30 days, and courses currently overdue.
  • Administrator - Maximum Course Test Attempts: Sent to administrators when learners have reached the maximum allowable test attempts for one or more courses. Each course for each user is listed.
  • User Welcome: Sends a welcome message to new learners that includes the login URL for the site, and contact information for customer support.
  • Initial Training Notice: Sent to learners when a required course is assigned to them for the first time, or if a recurring course is due again. Learners receive only one initial training notice for each course.
  • Overdue Training Notice: Sent to learners with overdue courses. Learners receive only one overdue notice per course.
  • User - Maximum Course Test Attempts: Sent to learners when they reach the maximum allowable test attempts for a course.
