Job Aid/Checklist

Use this job aid to help plan and develop virtual sessions that are effective and engaging. It is not a substitute for a script or for a development plan for the creation of any content required for the session.

Planning/Design

Notes

Done?

Topics to be covered and budgeted time for each.

Host(s)/Interviewers.

Co-hosts and/or assistants to watch for raised hands and answer chat questions.

Guest speaker for each topic (can be the same but better to have multiple guests).

Audience

Issues or concerns that are of interest and relevant to the audience, in the context of the session subject.

Development

Notes

Done?

Outline the script for the session introduction, main content points, and closing. Include:

  • Prompts for audience readiness sessions.
  • Segues from one:
    • Guest to another
    • Visual component to another
    • Main content point to another
  • Notes on contextually relevant content.

Note: Segues - using the interview driven approach automatically provides a strategy for naturally flowing segues and transitions.

Write contextually relevant interview questions; add to script.

Write partial or bulleted answers to the interview questions; add to script.

Develop poll and practice questions; add to script.

Determine how to fill the 1-2 minutes of "deadly" silence that usually accompanies polls, such as:

  • Short but interesting information related to poll question or some other aspect of session.
  • Comment on interesting chat contribution.

Plan and prepare to use any other visual material that would provide value as well as draw learner's attention:

  • Links to web sites
  • Application sharing
  • Product demo
  • Animations
  • Pod casts

Insert prompt for each into script.

Create key word/concept slides to accompany script.

Assemble or take photographs of hosts, speakers and guests.

Assemble or create any job aids or other documents you want the audience to have or use during the session.

Determine and develop a session evaluation strategy:

  • Two to three poll questions, or
  • More comprehensive evaluation available outside the session (web-based, paper-based, etc.)

Tip: Develop standardized versions that can be easily revised and reused in other sessions.

Delivery

Notes

Done?

Practice delivering your session.

Add time frame details to your outline.

Adjust outline details as practice indicates is necessary.
