Customize Welcome and Reminder Emails

You can choose to customize the content of the welcome emails you send to new and updated learners.

Welcome emails are always sent in the language specified by the email template language, except if you change the welcomeEmailLanguage field during bulk uploading. When you customize a welcome email, learners see the customized parts in the language that you used when you typed them. For example, if your default email template language is set to Spanish and you customize the email header entering text in English, the English text is added directly to the Spanish email and is not translated.

To customize welcome and reminder emails

  1. From the left navigation bar, select Site Settings > Engagement & Notifications > Email Campaigns.
  2. In the Welcome emails section, select one of these settings:
    • Send full welcome email series to new users (6 emails) by default
    • Send a single welcome email to new users by default
    • Don’t send by default. Let me choose to send email when I’m creating or importing users.
  3. Select Custom from the Email template drop-down list.
  4. Select the Edit email button. A page displays where you can customize your email templates.

    If you chose Send full welcome email series to new users (6 emails) by default, you can customize each template once even if you choose to use the same template for multiple emails.

    If you chose either Send a single welcome email to new users by default or Don’t send by default. Let me choose to send email when I’m creating or importing users, you get to chose one template to customize. If you attempt to customize a second template, the changes made to the first template are lost.

Note: You can always revert to the default templates by selecting Default from the Email template list. Any customizations you made are retained if you select the Custom option again.

Choose a Template

If you chose to send the series of six emails, select a template for each email. You can customize each template once even if you choose to use the same template for multiple emails. Percipio populates the fields with default text that you can customize. See how each template renders as an email.

Note: By default, emails one and four both use template 1, emails two and five 5 use template 2, and emails three and six use template 3.

Customize Text

After choosing the template for the email, you can customize the:

  • Subject line: The email subject. This field is required.
  • Header text: The large heading that appears in the body of the email. This field is required.
  • Preheader text: Additional text that appears underneath the subject, to give recipients a better idea what the email is about. This field is optional.
  • Introductory text: The first set of content in the body of the email. You can use the editor to add styling to this text. (keyboard accessible instructions).This field is optional.
Note: The text you customize should match the language defined for your default template language. Percipio does not translate customized text.

Add Variables for a Personal Touch

You can use two variables within the custom text, {First_name} and {Organization_name}, to further personalize the email content.

Example using variables

In this example, the learner receiving the welcome email is Kezia Adler, and their company is Akara.

In the subject line field, this string:

{First_name}, access to your Percipio account from {Organization_name} is nearly complete!

Produces this subject line in the email for Kezia:

Kezia, access to your Percipio account from Akara is nearly complete!
